AI Isn’t Replacing Travel Advisors, It’s Empowering Them to Do More
AI is quickly becoming part of everyday life for travel advisors, but not in the way some initially thought or feared.
Rather than replacing advisors, AI is reshaping how they work. It’s speeding up processes, streamlining content creation, and helping advisors operate more efficiently. But when it comes to actually converting a lead into a booking, one thing remains unchanged: the human layer still matters most.
Speed Meets Strategy
AI’s greatest impact so far has been the speed with which AI gets things done. Advisors are using AI tools to draft emails, create social media posts, build itineraries, and respond to client inquiries faster than ever before. Tasks that once took hours can now be completed in seconds or minutes, freeing up time for higher-value work.
“One of the biggest ways AI helps me is with marketing planning,” describes Maddie Dowdall, assistant manager and travel advisor, Sandpiper Vacations. “I typically generate the core ideas myself, but AI helps me organize those ideas into a structured monthly content plan with clear day-to-day direction. That allows me to stay consistent even during a chaotic week.
“AI also supports me behind the scenes by helping refine email communication, brainstorm client touchpoints, draft social captions, and organize complex information into clear, client-friendly formats. It saves me time on administrative and creative structuring tasks, allowing me to spend more energy where it matters most: serving my clients personally.”
Lorryn Langton, owner and travel designer, Pink Pineapple Travel, says she enjoys “using AI in my business in a variety of ways, including auditing my website for opportunities to illustrate my expertise better and increased visibility with AI searches known as GEO or generative engine optimization. We have had the great fortune of hearing from new clients that ‘ChatGPT suggested’ our agency when they searched for a local travel agent.”
The multitude of ways that AI can empower advisors is nearly endless. We’re only just scratching the surface.
And the shift in workflow and enhanced productivity that AI enables is especially important in a competitive landscape where responsiveness can make or break a sale. Clients expect quick answers, personalized recommendations, and seamless communication—and AI helps advisors meet those expectations.
A Super-Fast, Super-Intelligent Assistant
For those who are already using AI in their daily operations, they know that working with AI is like having a super-fast, super-intelligent assistant on hand 24/7. It acts like an always-on support system, ready to help with brainstorming, organization, and execution at any moment. And it never gets tired or runs out of ideas.
But what makes AI especially powerful is how it complements, not replaces, the advisor’s expertise. While AI can provide structure and speed, the advisor brings the insight, personalization, and relationship-building that turn a plan into a booked trip. Together, they create a more efficient and effective workflow, allowing advisors to focus less on busy work and more on delivering exceptional, tailored travel experiences.
“I view AI as an assistant, not a replacement,” explains Dowdall. “It helps me operate more efficiently, but the strategy, relationships, and decision-making still come from me. By leveraging technology thoughtfully, I’m able to show up more present, responsive, and intentional for the families I serve.”
The Human Layer Drives Conversion
While all of these examples show how AI helps advisors save time in accomplishing a broad variety of tasks, it’s so important to acknowledge that automation and speed alone don’t close the sale. And there are key areas where advisors remain irreplaceable.
Yes, AI can generate content at a super-human speed, but it can’t replicate connection. Travel advisors still play the critical role of building relationships, establishing trust, and understanding what clients truly want. They are the ones who interpret tone, pick up on hesitation, and recognize when a client is ready to move forward. And that’s where conversion happens.
Advisors who are successfully integrating AI into their businesses are enhancing the client experience, rather than handing it over. They use AI to get a strong first draft or a quick response, but they refine the message before it reaches the client.
They adjust the tone to match the situation and the relationship…add insights from their own travel experience… and personalize recommendations based on past interactions.
In other words, AI helps them start faster, but they still finish the conversation.
And in certain instances, the sensibilities of human judgement are essential to properly temper what AI produces. Langton has a perfect example of how she recently used AI in just this way for an important and timely client email communication.
“I particularly enjoy the quick use of sharing my words from a drafted email reply and requesting help to reformat in my tone, with a more clear and concise format,” relays Langton. “With the travel concerns in Puerto Vallarta earlier this year, I used AI to better format my personal words that I planned to proactively share with all of our agency’s clients traveling to Mexico within the next 120 days via email. AI helped me create a polished and concise message promptly.”
While AI responded to Langton’s needs with a draft in minutes, it was her human judgement that turned out an appropriate communication that understood her client’s emotional response to the unrest in parts of Mexico—and how to best address it before their upcoming trips.
Balancing Tech and Human Strengths
The balance between technology and personalization is also raising the bar across the industry. As more advisors adopt AI, the baseline expectation for communication, marketing, and turnaround time is increasing. What once stood out as exceptional is quickly becoming standard.
That’s why forward-thinking advisors are focusing on future-proofing their businesses. Using AI is just as much about staying competitive as it is about saving time. Advisors who embrace these tools can produce more content, respond more quickly, and manage more clients without sacrificing quality.
“As AI becomes more prevalent in our industry, advisors need to be able to marry tech fluency and our human strengths,” says Shirley Lin, vacation advisor, Adelman Travel. “Advisors need to understand how AI works and be able to interpret what AI produces. We need to understand that AI can only generate an itinerary based on the information that it is given.
“We, as advisors, will have to translate what AI gives us into more meaningful and personalized recommendations, to be able to give our clients the experiences that they want. We will have to convert what AI gives us into real experiences.
“Our human skills of empathy, real world judgement, creativity, experience, and communication will never be replaced by AI, but we need to understand that AI is part of our industry and learn to adapt our skills in AI use.”
Raising the Standard, Not Replacing It
The conversation around the use of AI by travel advisors is shifting. It’s no longer about whether advisors should use it. It’s about how they can use it effectively without losing what makes their business unique.
The most successful advisors are those who see AI as a partner, not a replacement. They leverage it to handle repetitive tasks, generate ideas, and increase efficiency, while reserving their time and energy for the parts of the business that truly require a human touch. The result is a stronger, more scalable business model.
The takeaway is clear: AI isn’t something to fear, it’s something to use. When integrated thoughtfully, it can make advisors more effective in their communication, more efficient in their workflows, and more confident in their ability to grow.
And as the industry continues to evolve, that combination of technology and human expertise will likely become the new standard. Because in the end, AI can help start the conversation. But it’s the advisor who closes it.
